About the Role
We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to support our CEO at VeriFast. In this role, you will serve as a trusted partner—anticipating needs, protecting priorities, and ensuring the CEO’s time is focused on the highest-value activities.
This position requires exceptional communication, strong relationship-building skills, and the ability to handle sensitive information with absolute discretion. You will act as the primary gatekeeper and coordination point between the CEO, internal teams, and external partners—driving efficiency, alignment, and seamless execution across the organization.
What You’ll Do
- Manage and optimize the CEO’s calendar, priorities, and day-to-day workflow
- Monitor, draft, refine, and respond to email communications using excellent email etiquette
- Coordinate meetings, prepare agendas, compile materials, track action items, and ensure timely follow-through
- Serve as the central point of contact for team members seeking CEO guidance or decisions
- Support both personal and business logistics, ensuring the CEO remains focused and productive
- Prepare executive reports, presentations, and confidential communications
- Process and manage documents using DocuSign and other digital workflow tools
- Anticipate needs and proactively identify and resolve issues before they escalate
- Maintain organized systems and documentation to ensure the CEO is always fully prepared
- Build trusted relationships across the leadership team, employees, and external stakeholders
- Multitask effectively in a fast-paced, high-growth environment while maintaining accuracy and professionalism
What You Bring
- 3+ years of Executive Assistant experience supporting C-Suite or senior leadership
- Demonstrated ability to manage complex calendars, relationships, and communications
- Exceptional written and verbal communication skills, with strong professionalism and email etiquette
- Experience using DocuSign and managing digital document workflows
- High level of discretion, emotional intelligence, and judgment
- Strong problem-solving abilities and a proactive, resourceful mindset
- Ability to multitask, prioritize, and adapt quickly without sacrificing attention to detail
- Tech-savvy with proficiency in tools such as Google Workspace, Slack, CRM systems, and scheduling platforms
- Based in Canada and able to work EST hours

The pay range for this role is:
80,000 – 120,000 CAD per year (Remote Canada)
